How to setup Rosie to schedule appointments directly into your Google Calendar.

Let Rosie book appointments for you directly into your Google Calendar—no double bookings, no back-and-forth, and no missed leads. When a caller wants to schedule, Rosie will find an available time, confirm it with the caller, and create the event automatically in your calendar.

How It Works

When a caller asks to book an appointment, Rosie will:

  1. Check your availability (based on your Rosie business hours + Google Calendar free/busy data)

  2. Offer 2–3 appointment time options

  3. Collect required information from the caller

  4. Create the event directly in your Google Calendar

Google will send its standard calendar confirmation email to attendees—Rosie does not send a separate confirmation text.


What Information Rosie Collects

When scheduling an appointment, Rosie will ask the caller for:

  • First & last name (required)

  • Email address (required)

  • Custom questions (if configured in your Rosie admin)

This information will be included in the calendar event.


Connecting Google Calendar

  1. Log into Rosie Admin

  2. Navigate to Integrations → Google Calendar

  3. Click Connect Calendar

  4. Complete the Google OAuth authorization

  5. Toggle on Schedule Directly in the Appointments settings to enable

What permissions Google requires

You’ll be asked to grant access for:

  • Viewing free/busy availability

  • Creating calendar events

Rosie only checks availability and creates events—Rosie cannot delete, reschedule, or view full calendar content.


Re-syncing Your Calendar

If you change important settings in your Google Calendar—like timezone or default calendar—just click Resync Google Calendar inside Rosie Admin so we can pull your updated configuration.


Using Appointment Links vs Direct Scheduling

You can choose to use appointment links or direct scheduling—but not both at the same time.

Pro-tip: Make sure you check your Text-a-link Departments as well. Delete any that offer to send a link to book an appointment.


FAQs

Can I choose a different calendar for Rosie to schedule into?

Not yet. V1 always schedules to your default calendar. Calendar selection will be added in a future update.

Can I add more guests to the event automatically?

In V1, only the caller and calendar owner are added. Additional invitees will be added in future versions.

Can Rosie reschedule or cancel appointments?

Not yet, but it’s planned for a future release.

Does Rosie look up previous appointment history?

Not yet, but let us know if you want this!

Rosie is offering to text a link to book an appointment instead of offering to book it directly with the customer during the call.

Check your text-a-link scenarios and FAQs. Ensure none of them reference sending a link to book an appointment.

Can I connect one of my Google Booking Pages so Rosie can use those settings?

Unfortunately no. Google does not provide access for third-parties to access setting configurations within Booking Pages.


Best Practices

  • Keep your Rosie business hours updated—they define what times Rosie will offer.

  • Use clear naming for the appointment title (e.g., Consultation, New Client Session).

  • Make sure your Google Calendar timezone is correct and resync if changed.
