How to connect ServiceM8 so every call Rosie answers is logged in the right client's diary automatically.

A customer calls, Rosie answers, and you get the details by text or email — but ServiceM8 has no idea the call happened. If ServiceM8 is where you run your jobs and clients, that's a gap you end up filling in by hand, or not at all.

Connect ServiceM8 to Rosie and every call logs itself. Rosie recognizes callers who are already in your clients, creates a client for first-time callers, and adds each call to the right client's diary. Texts and website chats get logged too.

Setup takes about a minute and it's included on every Rosie plan.


How It Works

  1. Connect ServiceM8 from the Integrations page in Rosie.

  2. When a call ends, Rosie looks the caller up in ServiceM8 by phone number.

  3. If they're already a client, the call is added to their diary. If they're new, Rosie creates the client first.

  4. The call appears in the client's diary with a summary of what was discussed and a link back to the full call details in Rosie.

That's it. There's nothing to configure in ServiceM8 and nothing new to teach Rosie.


Connecting ServiceM8

Heads up: ServiceM8's free plan doesn't support connections like this one — you'll need the Starter plan ($29/mo) or higher.

  1. In Rosie, go to Integrations and select ServiceM8.

  2. Select Connect. You'll be redirected to ServiceM8 to give Rosie permission to view and create clients and add diary entries.

  3. Log in with your ServiceM8 account.

  4. Approve the permissions. Once connected, Rosie starts logging new calls right away.


What Gets Logged

Calls — every call Rosie answers becomes an entry in the client's diary in ServiceM8, with a summary of the conversation and a link to the full details in your Rosie dashboard.

Texts and website chats — each conversation gets logged as a diary entry too. If the conversation keeps going, the entry updates in place, so you get one clean record per conversation instead of a pile of fragments.

New callers — first-time callers become new ServiceM8 clients automatically, with their name and phone number filled in. If a caller doesn't share their name, you still get the client — it's saved as "Unknown Caller" with their phone number, and Rosie fills in the real name if they give it on a later call.

Existing clients — Rosie matches by phone number, so there are no duplicates. If a client is missing details like a name, Rosie fills them in; she never overwrites information you already have.


Disconnecting

You can disconnect anytime from the Integrations page — open ServiceM8 and select Disconnect. Rosie stops logging immediately. Everything she's already added to ServiceM8 stays right where it is.


FAQs

Which ServiceM8 plan do I need?
Starter ($29/mo) or higher. ServiceM8's free plan doesn't allow outside connections, so Rosie can't connect to it.

What happens if the caller is already in my ServiceM8?
Rosie finds them by phone number and adds the call to their existing diary — no duplicate clients.

Can Rosie book jobs or appointments in ServiceM8?
No — this integration logs calls, texts, chats, and clients. Appointment booking works through your connected calendar, same as always.

Can I connect more than one CRM?
One CRM per Rosie account. If you switch CRMs, disconnect the old one first.

Does this cost extra?
No. CRM integrations are included on every Rosie plan.
