CRM Integrations

Connect your CRM so every call, text, and chat Rosie handles gets logged on the right customer automatically.

A customer calls, Rosie answers, and you get the details by text or email. Your CRM has no idea any of it happened. If that's where you track your customers and jobs, you're either back-filling it by hand later or losing the history altogether.

Connect your CRM and Rosie takes care of it. She looks the caller up by phone number, adds the call to their record, and creates the customer if they're new. Texts and website chats get logged the same way.

Setup takes about a minute, and it's included on every Rosie plan.

How It Works

  1. Go to Integrations in Rosie and pick your CRM.

  2. Select Connect, then log in to your CRM to give Rosie permission.

  3. That's it — Rosie starts logging new conversations right away.

There's nothing to configure on the CRM side and nothing new to teach Rosie. She logs each conversation once it ends, so you get a clean entry with a summary rather than a running transcript.

What Gets Logged

Calls — every call Rosie answers gets added to the customer's record, with a summary of what was discussed and a link back to the full call details in Rosie.

Texts and website chats — these get logged the same way, one entry per conversation instead of a pile of fragments. Most CRMs let Rosie keep that entry up to date as the conversation goes on; the ones that don't get a single entry written once the conversation is finished.

New callers — first-time callers become new records automatically, with the name and phone number Rosie collected. If someone doesn't give a name, you still get the record with their number, and Rosie fills the name in later if they share it on another call.

Existing customers — Rosie matches on phone number, so you won't get duplicates. She'll fill in a name that's missing, but she never overwrites information you already have.

Where the call actually lands differs a little by CRM. HubSpot, Zoho CRM, Zoho Bigin, Pipedrive, Nutshell, and Follow Up Boss get native call records. GoHighLevel and Kommo get a call record and a note together. The rest get notes. Call recordings come through on HubSpot, Zoho CRM, GoHighLevel, Nutshell, Kommo, and Follow Up Boss, playable for 30 days. Workiz is the one exception to filling in a missing name — its API doesn't let outside apps edit a client, so Rosie adds her notes and leaves a record she's already created exactly as it is.

Required fields — Zoho CRM, Zoho Bigin, JobTread, and Pipedrive let you make certain fields required on a new record. Rosie reads those fields and asks new callers for them during the call on all four. Only Zoho Bigin and JobTread hold back a new record when a required field is missing, because those CRMs won't accept it. On Zoho CRM and Pipedrive, Rosie creates the record with whatever details she collected. Each CRM's guide explains how it works there.

Choose Which New Conversations Reach Your CRM

Not every call is a lead. New contact filters let you keep spam, hang-ups, and callers who didn't give a name out of your CRM, so it only fills up with people worth following up with.

Where to find them — go to Integrations, open your CRM, and select Settings. The switches are under New Contact Filters. When you're done, select Save. If you close the window without saving, your changes aren't kept.

The three filters:

  • Don’t send spam conversations keeps out calls that Rosie flagged as spam and any call or text your team marked as spam. For texts and website chats, only the ones your team marked as spam count. This one is on by default.

  • Don’t send hang-ups keeps out calls where the caller hung up before saying anything or leaving a message. A call isn't treated as a hang-up if the caller left a message, booked an appointment, or was transferred to your team. Texts and chats are never treated as hang-ups. This one is off by default.

  • Don’t send anonymous conversations keeps out conversations where Rosie didn't get the person's first or last name. This one is off by default.

Filters only apply to new contacts — they decide whether Rosie creates a new contact, and nothing else. If the caller is already in your CRM, Rosie always logs the conversation on their record, even if it looks like spam or a hang-up.

Seeing what's on — the New contact filters row in the Details section on your CRM's page lists the filters you've turned on. If they're all off, it says "Send all new conversations."

Conversations that a filter keeps out of your CRM aren't lost. You can still find every one of them in Rosie.

FAQs

Can I connect more than one CRM?
One CRM per Rosie account. If you're switching, disconnect the old one first.

Does this cost extra?
No. CRM integrations are included on every Rosie plan.

Can Rosie book jobs or appointments in my CRM?
No — these integrations log calls, texts, chats, and customers. Appointment booking runs through your connected calendar instead.

Will a spam call from an existing customer still be logged?
Yes. Filters only decide whether Rosie creates a new contact, so a call from someone who's already in your CRM always gets logged on their record, even if it was flagged as spam.

What if a caller left a message and then hung up?
That's not a hang-up. Rosie only treats a call as a hang-up when the caller didn't leave a message, didn't book an appointment, and wasn't transferred to your team, so a caller who left a message still reaches your CRM as a new contact.

Where do conversations go when a filter skips them?
They stay in Rosie, just like every other conversation. The filter only stops Rosie from creating a new contact for them in your CRM.

How do I disconnect?
Open your CRM on the Integrations page, select Settings, then select Disconnect. Rosie stops logging immediately, and everything she's already added stays right where it is.
