CRM | Zoho Bigin Integration

How to connect Zoho Bigin so every call Rosie answers is logged on the right contact automatically.

A customer calls, Rosie answers, and you get the details by text or email — but Bigin has no idea the call happened. If Zoho Bigin is where you keep track of your customers, that's a gap you end up filling in by hand, or not at all.

Connect Bigin to Rosie and every call logs itself. Rosie recognizes callers who are already in your contacts, creates a contact for first-time callers, and adds each call to the right record. Texts and website chats get logged too.

Setup takes about a minute, it's included on every Rosie plan, and it works on every Bigin plan — including free.

How It Works

  1. Connect Zoho Bigin from the Integrations page in Rosie.

  2. When a call ends, Rosie looks the caller up in Bigin by phone number.

  3. If they're already a contact, the call is added to their record. If they're new, Rosie creates the contact first, as long as she has every field your Bigin account requires (see Required Fields).

  4. The call appears as a logged call on the contact, with the duration, a summary of what was discussed, and a link back to the full call details in Rosie.

That's it. There's nothing to configure in Bigin and nothing new to teach Rosie.

Connecting Zoho Bigin

  1. In Rosie, go to Integrations and select Zoho Bigin.

  2. Select Connect. You'll be redirected to Zoho to give Rosie permission to view and create contacts, log calls, and add notes.

  3. Log in with the Zoho account your business uses.

  4. Select Accept. Once connected, Rosie starts logging new calls right away.

What Gets Logged

Calls — every call Rosie answers becomes a logged call on the contact in Bigin, marked as inbound and carrying the call duration, with a summary of the conversation and a link to the full details in your Rosie dashboard.

Texts and website chats — each conversation gets logged as a note, with the full summary — one note per conversation.

New callers — first-time callers become new Bigin contacts automatically, with their name and phone number filled in. If your Bigin account requires other fields, Rosie asks for them during the call, and she only creates the contact when she has them all. If a caller doesn't share their name, you still get the contact — it's saved as "Unknown Caller" with their phone number, and Rosie fills in the real name if they give it on a later call.

Existing contacts — Rosie matches by phone number, so there are no duplicates. If a contact is missing a name, Rosie fills it in; she never overwrites information you already have.

New contact filters — you can choose which new conversations become Bigin contacts. Open Zoho Bigin on the Integrations page and select Settings. Spam is kept out by default, and you can also leave out hang-ups and people who didn't give a name. Callers who are already in Bigin always get their conversations logged. See how new contact filters work.

Required Fields

Some Bigin accounts make certain contact fields required, such as a service type or a lead source. Bigin won't take a new contact without those fields, so Rosie reads them and asks new callers for them.

How Rosie finds them — Rosie reads the required fields on your Bigin contacts when you connect, and again whenever you select Re-sync on the Zoho Bigin page in Rosie. If Bigin ever turns down a new contact because a field is missing, she re-reads them on her own. You'll see them listed under Required contact fields, each with a tag:

  • Filled in by Rosie means Rosie fills it in herself, like the phone number and name.

  • Rosie asks means Rosie asks new callers for it during the call. Email and most text, number, date, yes/no, and pick-list fields get this tag.

  • Rosie can’t ask callers means it's a field a caller can't answer, like a lookup or owner field.

During the call — Rosie only asks when the caller isn't already in Bigin. She works the questions into what she's already doing, so she asks while she takes a message or books an appointment, one question at a time. If a field is a pick-list, she keeps the caller to your options. If the caller asks to be transferred, she transfers first and doesn't ask beforehand. If the caller doesn't know an answer or would rather not say, she takes that as their answer, and she asks about each field only once. She never tells the caller why she's asking.

If a caller doesn't give one — Rosie doesn't create the new contact, because Bigin won't accept it. The call is still saved in Rosie with its summary, so nothing is lost, and you can add the contact yourself. Callers who are already in Bigin aren't affected: Rosie never asks them these questions, and their calls are logged the same as always.

If Rosie can't ask for a field — you'll see a warning on the Zoho Bigin page, because a field Rosie can't ask a caller for stops every new contact. Make that field optional in Bigin, then select Re-sync.

If you change your fields in Bigin — after you make a field required, or make one optional, select Re-sync so Rosie asks new callers for the right details.

Texts and website chats — the same rules apply to new people who text or chat. Over text, Rosie asks for these details too. On website chats she doesn't ask, but she uses any of them the visitor shares. Either way, their answers and their email go into the new contact, and Rosie only creates it when she has every required field.

Disconnecting

You can disconnect anytime from the Integrations page — open Zoho Bigin, select Settings, then select Disconnect. Rosie stops logging immediately. Everything she's already added to Bigin stays right where it is.

FAQs

Which Bigin plan do I need?
Any plan works, including free.

I use Zoho CRM, not Bigin. Which integration should I connect?
They're separate integrations — connect the one your business actually uses.

Where does the call show up?
Under the contact's calls in Bigin, alongside any calls your team logs by hand. The summary of the conversation is in the call's description.

What happens if the caller is already in my Bigin?
Rosie finds them by phone number and adds the call to their existing record — no duplicate contacts.

Why didn't Rosie create a contact for a new caller?
Your Bigin account has required fields, and the caller didn't give one of them, or their answer to a pick-list field didn't match one of your options. It also happens when one of your required fields is tagged Rosie can’t ask callers, or when one of your new contact filters is on and the conversation matched it. The call is still in Rosie, so you can add the contact yourself.

I just made a field required in Bigin. Do I need to do anything?
Yes. Select Re-sync on the Zoho Bigin page in Rosie so she starts asking new callers for it.

Can Rosie book appointments in Bigin?
No — this integration logs calls, texts, chats, and contacts. Appointment booking works through your connected calendar, same as always.

Can I connect more than one CRM?
One CRM per Rosie account. If you switch CRMs, disconnect the old one first.

Does this cost extra?
No. CRM integrations are included on every Rosie plan.
