CRM | Kickserv Integration

How to connect Kickserv so every call Rosie answers is logged on the right customer automatically.

A customer calls, Rosie answers, and you get the details by text or email — but Kickserv has no idea the call happened. If Kickserv is where you run your customers and jobs, that's a gap you end up filling in by hand, or not at all.

Connect Kickserv to Rosie and every call logs itself. Rosie recognizes callers who are already in your customers, creates a customer for first-time callers, and adds each call to the right record. Texts and website chats get logged too.

Setup takes a couple of minutes and it's included on every Rosie plan.

How It Works

  1. Connect Kickserv from the Integrations page in Rosie.

  2. When a call ends, Rosie looks the caller up in Kickserv by phone number.

  3. If they're already a customer, the call is added to their record. If they're new, Rosie creates the customer first.

  4. The call appears as a note on the customer, with a summary of what was discussed and a link back to the full call details in Rosie.

That's it. There's nothing else to configure in Kickserv and nothing new to teach Rosie.

Connecting Kickserv

Heads up: you'll need Kickserv's Premium plan — their other plans don't allow outside connections. We also recommend creating a dedicated Kickserv login just for Rosie (something like rosie@yourbusiness.com), because Kickserv resets the connection whenever the connecting user changes their password.

  1. In Rosie, go to Integrations and select Kickserv.

  2. Enter your Kickserv account name (the first part of your Kickserv web address) and your API token — you'll find the token in your Kickserv account settings.

  3. Select Connect. Rosie checks the details on the spot and starts logging new calls right away.

What Gets Logged

Calls — every call Rosie answers becomes a note on the customer in Kickserv, with a summary of the conversation and a link to the full details in your Rosie dashboard.

Texts and website chats — each conversation gets logged as a note too, with the full summary — one note per conversation.

New callers — first-time callers become new Kickserv customers automatically, with their name and phone number filled in. If a caller doesn't share their name, you still get the customer record — it comes in as "Unknown Caller" with their phone number, and Rosie fills in the real name if they give it on a later call.

Existing customers — Rosie matches by phone number, so there are no duplicates. If a customer is missing a name, Rosie fills it in; she never overwrites information you already have.

Disconnecting

You can disconnect anytime from the Integrations page — open Kickserv and select Disconnect. Rosie stops logging immediately. Everything she's already added to Kickserv stays right where it is.

FAQs

Which Kickserv plan do I need?
The Premium plan. Kickserv's other plans don't allow connections like this one.

My connection stopped working. What happened?
The most common cause: the Kickserv user who set up the connection changed their password, which resets the token on Kickserv's side — quietly. Grab the new token from Kickserv and reconnect in Rosie. A dedicated "Rosie" login avoids this entirely.

What happens if the caller is already in my Kickserv?
Rosie finds them by phone number and adds the call to their existing record — no duplicate customers.

Can Rosie book jobs or appointments in Kickserv?
No — this integration logs calls, texts, chats, and customers. Appointment booking works through your connected calendar, same as always.

Can I connect more than one CRM?
One CRM per Rosie account. If you switch CRMs, disconnect the old one first.

Does this cost extra?
No. CRM integrations are included on every Rosie plan.
