How to connect RepairShopr so every call Rosie answers is logged on the right customer automatically.

A customer calls, Rosie answers, and you get the details by text or email — but RepairShopr has no idea the call happened. If RepairShopr is where you run your customers and tickets, that's a gap you end up filling in by hand, or not at all.

Connect RepairShopr to Rosie and every call logs itself. Rosie recognizes callers who are already in your customers, creates a customer for first-time callers, and adds each call to the right record. Texts and website chats get logged too.

Setup takes a couple of minutes and it's included on every Rosie plan.


How It Works

  1. Connect RepairShopr from the Integrations page in Rosie.

  2. When a call ends, Rosie looks the caller up in RepairShopr by phone number.

  3. If they're already a customer, the call is added to their record. If they're new, Rosie creates the customer first.

  4. The call appears in the customer's Notes, with a summary of what was discussed and a link back to the full call details in Rosie.

That's it. There's nothing else to configure in RepairShopr and nothing new to teach Rosie.


Connecting RepairShopr

You'll need two things from RepairShopr: your subdomain and an API token.

  1. In RepairShopr, open Admin, scroll the left menu down to API → API Tokens, and select New Token.

  2. Open the Custom Permissions tab — not App Integration — name the token Rosie, and leave Expiration blank so the connection keeps working.

  3. Under Customers, tick Create, List/Search, View Detail, and Edit, then select Create API Token. Copy the token right away — RepairShopr shows it only once.

  4. In Rosie, go to Integrations and select RepairShopr.

  5. Enter your subdomain — the first part of your RepairShopr web address, so acme if you sign in at acme.repairshopr.com — and paste the API token. You can paste the full web address instead of the subdomain if that's easier.

  6. Select Connect. Rosie checks the details on the spot and starts logging new calls right away.


What Gets Logged

Calls — every call Rosie answers is added to the customer's Notes in RepairShopr, with a summary of the conversation and a link to the full details in your Rosie dashboard. Each new call is added below the last one, so the customer's history reads in order.

Texts and website chats — each conversation gets logged the same way, written once the conversation wraps up so the single entry covers the whole exchange.

New callers — first-time callers become new RepairShopr customers automatically, with their name and phone number filled in. If a caller doesn't share their name, you still get the customer record — it comes in as "Unknown Caller" with their phone number, and Rosie fills in the real name if they give it on a later call.

Existing customers — Rosie matches on the phone and mobile numbers, so there are no duplicates. If a customer is missing a name, Rosie fills it in; she never overwrites information you already have.


Disconnecting

You can disconnect anytime from the Integrations page — open RepairShopr and select Disconnect. Rosie stops logging immediately. Everything she's already added to RepairShopr stays right where it is.


FAQs

Which RepairShopr plan do I need?
Any of them, including a trial. API tokens are available on every plan.

Why does the call land in Notes instead of on a ticket?
RepairShopr's connection point for outside apps is the customer record, so that's where Rosie writes — the customer's Notes, where you'll see it next to everything else about them. She doesn't open or touch tickets.

My connection stopped working. What happened?
Usually the token: either it was deleted in RepairShopr, or it was created with an expiration date that has since passed. Create a fresh token with Expiration left blank and reconnect in Rosie.

Rosie says my token was rejected. What do I check?
The permissions. The token needs the Customers boxes — Create, List/Search, View Detail and Edit — ticked on the Custom Permissions tab. A token made on the App Integration tab won't work.

What happens if the caller is already in my RepairShopr?
Rosie finds them by phone number and adds the call to their existing record — no duplicate customers.

Can Rosie book jobs or appointments in RepairShopr?
No — this integration logs calls, texts, chats, and customers. Appointment booking works through your connected calendar, same as always.

Can I connect more than one CRM?
One CRM per Rosie account. If you switch CRMs, disconnect the old one first.

Does this cost extra?
No. CRM integrations are included on every Rosie plan.
