A customer calls, Rosie answers, and you get the details by text or email — but AgencyZoom has no idea the call happened. If AgencyZoom is where you run your pipeline and book of business, that's a gap you end up filling in by hand, or not at all.
Connect AgencyZoom to Rosie and every call logs itself. Rosie recognizes callers who are already in your customers or leads, creates a lead for first-time callers, and logs each call on the right record. Texts and website chats get logged too.
Setup takes a couple of minutes and it's included on every Rosie plan.
How It Works
Connect AgencyZoom from the Integrations page in Rosie and choose the lead pipeline where new callers should land.
When a call ends, Rosie looks the caller up by phone number — customers first, then leads.
If she finds them, the call is logged on that record. If they're new, Rosie creates a lead in your chosen pipeline first.
The call appears as a note on the customer or lead, with a summary of what was discussed and a link back to the full call details in Rosie.
Once the pipeline is set, there's nothing else to configure in AgencyZoom and nothing new to teach Rosie.
Connecting AgencyZoom
You'll need your AgencyZoom API key and API secret. They live behind the Zapier tile, but nothing about this connection goes through Zapier — those are simply AgencyZoom's own credentials for your agency.
Heads up: you need manager or admin permissions in AgencyZoom to see them.
In AgencyZoom, open Integrations and select the Zapier tile.
Select Show API Key. AgencyZoom shows an API key and an API secret.
In Rosie, go to Integrations, select AgencyZoom, and paste each one into the matching field.
Select Next. Rosie checks the pair with AgencyZoom and loads your lead pipelines.
Choose the lead pipeline where Rosie should file new callers, then select Connect. She starts logging new calls right away.
The key and secret are the only credentials Rosie holds — there's no password involved. If you ever regenerate them in AgencyZoom, come back to the Integrations page and reconnect with the new pair.
Choosing Your Lead Pipeline
AgencyZoom is built around pipelines, and every lead has to live in one — there's no general "leads" bucket to drop a new caller into. So Rosie asks you to pick the pipeline once, at connection, rather than guessing which board a phone lead belongs on.
A few things worth knowing:
Only your lead pipelines are listed. Service pipelines are left out on purpose — a lead created into one of those is stored with no pipeline at all.
New callers land in the first stage. Rosie creates each new lead at the top of the pipeline you chose, and she never moves a lead's stage after that. Where it goes next is yours to work.
You choose one pipeline. Every new caller goes to the same one. Callers already in AgencyZoom are matched by phone number and logged wherever they already sit, so this choice only affects brand-new callers.
You can change it anytime. Open AgencyZoom on the Integrations page and select Settings to pick a different pipeline. Your current pipeline and entry stage are shown on that page too.
Re-sync after you change things in AgencyZoom. If you add, rename, or remove lead pipelines, select Re-sync on the AgencyZoom page so the list here matches. Rosie also re-checks daily on her own.
If your chosen pipeline is deleted, the AgencyZoom page flags it so you know to pick another. In the meantime new leads go into your first lead pipeline rather than being dropped — a lead on the wrong board beats a lost lead.
What Gets Logged
Calls — every call Rosie answers becomes a note on the customer or lead in AgencyZoom, with a summary of the conversation and a link to the full details in your Rosie dashboard.
Texts and website chats — each conversation gets logged as a note too, written once the conversation wraps up so the single note covers the whole exchange.
New callers — first-time callers become new AgencyZoom leads automatically, in the pipeline you chose at its first stage, assigned to your agency owner (or your first active team member if the owner isn't available). If you have a lead source named "Rosie", she uses it; otherwise she uses your first one. If a caller doesn't share their name, the lead comes in as "Unknown Caller" with their phone number, and Rosie fills in the real name if they give it on a later call.
Existing customers and leads — Rosie matches on both the main and secondary phone numbers, so there are no duplicates. If a record is missing a name or email, Rosie fills it in; she never overwrites information you already have, and she never moves a lead's stage.
Disconnecting
You can disconnect anytime from the Integrations page — open AgencyZoom and select Disconnect. Rosie stops logging immediately. Everything she's already added to AgencyZoom stays right where it is.
FAQs
Which AgencyZoom plan do I need?
Any of them. The connection works on every AgencyZoom plan.
Why do I have to choose a pipeline when other CRMs don't ask?
Because AgencyZoom requires one. Every lead has to be created into a pipeline and a stage, so there's no sensible way for Rosie to pick for you — which board a phone lead belongs on is your call.
Can I send different callers to different pipelines?
Not today. Rosie files every new caller into the one pipeline you chose.
I added a new pipeline in AgencyZoom and I don't see it in Rosie.
Select Re-sync on the AgencyZoom page in Rosie and it will appear. Rosie also refreshes the list daily on her own.
I deleted the pipeline Rosie was using. What happens to new leads?
They go into your first lead pipeline so nothing is lost, and the AgencyZoom page in Rosie flags the missing pipeline. Re-sync and choose a new one when you get a chance.
My connection stopped working. What happened?
Regenerating your API key and secret in AgencyZoom ends the connection. Come back to the Integrations page and reconnect with the new pair.
Why does my new lead have an email address I don't recognize?
AgencyZoom won't create a lead without an email, so when a caller doesn't give one Rosie fills in a placeholder that includes their phone number. It's there to get the lead created — replace it with the real address whenever you learn it.
A repeat customer's call landed on a lead instead of their customer record. Why?
It shouldn't — Rosie checks your customers before your leads and logs to the customer record whenever the phone number matches one. If a call landed on a lead instead, the number on the customer record is probably different from the one they called from. Add that number to the customer in AgencyZoom and the next call will find them.
Why did a first-time caller become a lead rather than a customer?
AgencyZoom customers are your policyholders, and new records there come from your management system rather than from an outside app. So Rosie starts everyone as a lead, which is where new prospects belong anyway — you convert them the way you always have.
A call was logged in Rosie but nothing appeared in AgencyZoom. What happened?
To create a lead, Rosie needs three things in your account: at least one lead source, a lead pipeline with at least one stage, and one active team member to assign it to. If any of those is missing, she can't create the record. Add the missing piece in AgencyZoom and new callers will come through.
Are call recordings attached?
No. AgencyZoom has no place to hold a call recording, so the call comes through as a note with the summary. The recording stays playable in your Rosie dashboard.
Can Rosie book jobs or appointments in AgencyZoom?
No — this integration logs calls, texts, chats, leads, and customers. Appointment booking works through your connected calendar, same as always.
Can I connect more than one CRM?
One CRM per Rosie account. If you switch CRMs, disconnect the old one first.
Does this cost extra?
No. CRM integrations are included on every Rosie plan.
