A customer calls, Rosie answers, and you get the details by text or email — but Workiz has no idea the call happened. If Workiz is where you run your clients and jobs, that's a gap you end up filling in by hand, or not at all.
Connect Workiz to Rosie and every call logs itself. Rosie recognizes callers who are already in your clients, creates a client for first-time callers, and adds each call to the right record. Texts and website chats get logged too.
Setup takes a couple of minutes and it's included on every Rosie plan.
How It Works
Connect Workiz from the Integrations page in Rosie.
When a call ends, Rosie looks the caller up in Workiz by phone number.
If they're already a client, the call is added to their record. If they're new, Rosie creates the client first.
The call appears in the client's Notes, with a summary of what was discussed and a link back to the full call details in Rosie.
That's it. There's nothing else to configure in Workiz and nothing new to teach Rosie.
Connecting Workiz
Heads up: you'll need the Workiz Ultimate plan with the Developer API add-on turned on — that's what gives Rosie access.
In Workiz, open the Feature Center and make sure Developer API is turned on.
Sign in as the user you'd like Rosie's notes to come from — Workiz stamps every note with the name of the user who generated the credentials, so use a "Rosie" user if you have one.
Click your profile icon, then go to Settings → Integrations → Developer. If you don't see any credentials yet, select Generate API credentials.
Set Search to Read and Clients to Read & write. Everything else can stay on No access. If Workiz asks for an expiration date, leave it empty — a token that expires disconnects Rosie on that date, and you'd have to reconnect.
Copy the API Token — not the API Secret.
In Rosie, go to Integrations and select Workiz.
Paste in the API token and select Connect. Rosie checks it on the spot and starts logging new calls right away.
What Gets Logged
Calls — every call Rosie answers is added to the client's Notes in Workiz, with a summary of the conversation and a link to the full details in your Rosie dashboard. Each new call is added below the last one, so the client's history reads in order.
Texts and website chats — each conversation gets one note, and Rosie keeps it up to date as the conversation goes on, so a single entry covers the whole exchange.
New callers — first-time callers become new Workiz clients automatically, with their name and phone number filled in. If a caller doesn't share their name, you still get the client record — it comes in as "Unknown Caller" with their phone number. If they give their name on a later call, it goes in that call's note, and you can rename the client yourself if you'd like it on the record.
Existing clients — Rosie matches by phone number, checking the client's main and secondary numbers as well as the numbers on any client contacts, so there are no duplicates. She adds her note and leaves the rest of the record exactly as you have it — Workiz doesn't let outside apps edit a client, so nothing you've entered can be changed or overwritten.
Disconnecting
You can disconnect anytime from the Integrations page — open Workiz and select Disconnect. Rosie stops logging immediately. Everything she's already added to Workiz stays right where it is.
FAQs
Which Workiz plan do I need?
The Ultimate plan, with the Developer API add-on turned on in your Feature Center. That's the combination that lets Rosie connect.
Whose name shows up on the notes Rosie writes?
Workiz credits the note to the user whose credentials created the connection. If you'd rather the notes came from someone else — a "Rosie" user, say — sign in as that user, generate credentials there, and reconnect in Rosie with the new token.
A caller gave their name on a later call, so why is the client still "Unknown Caller"?
Workiz doesn't let outside apps rename an existing client, so Rosie can't update the record after she's created it. The name is in that call's note, and you can rename the client in Workiz whenever you like.
My connection stopped working. What happened?
Usually the token: either it was deleted in Workiz, or it was created with an expiration date that has since passed. Generate a fresh token with the expiration date left empty and reconnect in Rosie.
Rosie says my token was rejected. What do I check?
Three things. Make sure Developer API is turned on in the Feature Center, that the token has Search set to Read and Clients set to Read & write, and that you pasted the API Token rather than the API Secret.
What happens if the caller is already in my Workiz?
Rosie finds them by phone number and adds the call to their existing record — no duplicate clients.
Why does the call land on the client instead of a job?
Workiz's connection point for outside apps is the client record, so that's where Rosie writes — the client's Notes, where you'll see it next to everything else about them. She doesn't create or change jobs, estimates or invoices.
Can Rosie book jobs or appointments in Workiz?
No — this integration logs calls, texts, chats, and clients. Appointment booking works through your connected calendar, same as always.
Can I connect more than one CRM?
One CRM per Rosie account. If you switch CRMs, disconnect the old one first.
Does this cost extra?
No. CRM integrations are included on every Rosie plan.
